From 1 October 2025, we have enabled the option in Accent Leave Manager to allow for early reimbursement. This applies to claiming the course/conference fee, public transport and accommodation expenses, where a valid receipt can be provided. Expenses for subsistence and mileage need to be claimed after the activity is complete.
What if the event is cancelled or I do not attend?
If you have been reimbursed early and did not attend the event or it has been cancelled, you must inform the Trust/GP Programme Manager or NHS England (if you have claimed via Lead Employer arrangements as above) and the money will be recouped.
Can the above expenses be processed early for discretionary leave?
Yes, both curricular and discretionary applications can be processed early.
When should I submit my certificate of attendance?
Proof of attendance will no longer be required, all resident doctors are required to inform their local contacts if they did not attend an event. Any applicants found to be claiming for non-attendance will be required to return any funds claimed and will be reported to their Head of School and GMC as a probity concern.
Does another claim need to be submitted after the event if I am also claiming mileage or subsistence?
Yes, you may be required to submit another claim for reimbursement. However, please ensure that you refer to any local guidance provided by the Trust or programme.
Please note that reimbursment does not happen automatically through Accent Leave Manager. To claim expenses, please follow the process below. All claims need to be submitted within 8 weeks of finishing study leave or receiving approval on Accent Leave Manager, whichever is later.
